Workplace policies: what they are and why you need them

Every business is supposed to have policies: for safety, for staff, for winning work. Most either pay a consultant or never get around to it. Here's what they actually are, which ones you need, and how to get a full set for free.

What is a workplace policy?

A policy is a short document that sets out your business's position and rules on a particular issue: what you expect, what's not on, and who's responsible. It's your way of saying "this is how we do things here". A Drug & Alcohol Policy says where your business stands on drugs and alcohol at work; a WHS Policy states your commitment to safety.

Policies are statements of intent. They sit above the detailed procedures and forms that actually carry the work out.

Why does your business need policies?

  1. Your WHS system. WHS law expects you to manage risks and consult your workers, and policies are the backbone that shows how. Auditors and regulators look for them.
  2. Winning work. Head contractors and tenders routinely ask for your policies (WHS, drug & alcohol, environmental, and increasingly modern slavery and privacy) before they'll engage you. No policies, no job.
  3. Running properly. Clear policies set expectations, keep things consistent, and protect you if something goes wrong. A documented policy is your evidence that you set the standard.

Do policies need to be state-specific?

No. Australian WHS law is harmonised nationally (Victoria is the exception, on the OHS Act 2004), and most policies are company statements that read the same wherever you are. So a single national version is fine, no need to manage a version per state.
